The “Target Channel” tab is located under “People Manager” this will show you an overview of users that are created in “Data Source” and where they are synchronized too. Depending on the target channel, you will see a different list of menu items when you click on the “...” button at the end of the user’s name.
Search Options
In the people manager section, you are able to search for users through the search field. You can search for users based on letter/s or keywords. For example, searching “ead” will show you all references where “ead” has been used in any field. We recommend using three characters but there is no minimum.
Filter Options
Whether you have entered a value in the search field or not, you are able to filter on the results that are shown in ”Data Source” or ”Target Channel” views. You can select a filter by clicking on the “Filter results”.
You are then able to enter one or more values in the different options.
Once you have selected a filter option, click on “Apply Filters”. The filter will be applied, and the search results will show a list of all people that match the options selected. You can also use the search field after the filters have been applied to reduce the list of users. This process can be applied the opposite way around with the search field completed first and then “Apply Filters”.
View Menu
When you click on the “…” button and select the “View” button, the view user window will be opened. The contents of the window will on first look be the same as “View” profile, however, there are two new tabs; “Audit Log” and “Message Log"
If you have sent an invitation, reminder or a new access code, the message log will display these. You can click on the “...” and select “View”. The most common reason for using “View” button would be if a user states they have no received an SMS or email.
Access Code Menu
For the “Access Code” button to be enabled, you will need to check that the delivery templated is enabled. This can be done under “User Management” and navigate to “Settings” and “Delivery Templates” which can be located on the top bar
The “Delivery Template” page will show you a list of the different message types, the delivery channel, and the locale of the message. The list below will give you an overview of the different configurations and how they are linked to the “Access Code” menu.
- Delivery Type
- Invitation: The message that an end user will see when they first receive their access code
- Reminder: The message that an invited user will see when they are reminded to claim their account
- Forgot Password: The message that a claimed user will see when they forgot their password
- Channel
- SMS: This will send the message to the personal mobile phone number
- Email: This will send the message to the personal email address
- Locale
- When you’ve set a locale for a specific message, the end user will receive a message in their locale in case the locale is assigned to that user. By default, the locale is set to English (UK) but this can be changed for each user.
We can only send messages to a personal email address or personal mobile phone number, the “Access Code” menu will only be enabled if the delivery type is set to one of these. If the user has been set to activate their account with the Activation portal the “Access code” menu will remain greyed out. Once the delivery templates are configured can invite new people, send a reminder to people that have not claimed their Workplace account yet or send a new access code in case that a claimed user forgot their password.
