When you are synchronizing people through an HR Integration, the data source tab will show the name of the system you are using above the search field. If you are not using an HR integration, you will only see the “Manually Add” tab.
In the HR Integration tab, you will see all of the people that are synchronized directly from an external source such as S4, RotaReady, Workday, Azure AD, Fourth, and many others. This means that when information is changed in the HR tool, it will be reflected to Connect which will then update the field values to Workplace.
View / Edit User
You can view the profile of a user by clicking on their name or by selecting the “…” on the far right column. When the profile of the user opens, you will not be able to make any changes. It is only possible to view the user’s profile.
You can edit the profile of a user by clicking on “Edit” at the bottom of the view window. Alternatively, you can select “...” and click on the option you want to edit. In edit mode, you are able to apply changes to the user which will be considered as an ‘override’ for the value in the HR system. For example, Stephen could be changed to Steve.
When you edit field values that are normally set by an HR tool, a yellow border will be placed around the field to inform you that the HR tool holds another value than the one that’s currently entered for that user. These highlights will also be visible in the people table once you click on the “Save” button.
For note, you need to assign a user to a site group and site before it’s possible to apply an override for this user. The reason for this is the fact that attribute values are stored on a site level and not on a tenant level.
Removal of Overrides
Follow the above steps for editing a user, you will see a “Sync” option at the bottom of the window. Click on “Sync” and this will remove all overrides and all values within Connect and the target channel will be set to the values that are stored in the HR system.
Move User
You can move a single user from one site to another site by clicking on “…” at the end of the user’s row. Select “Move the user” and you will be able to select a target site from the drop-down menu. The move will be confirmed when you click on the “Move” button.
Moving Users in Bulk
In order to move people in bulk you need to select more than one checkbox to the left of the user name. This will trigger the “bulk actions”, here you can click on “Move to” to reallocate the user.
